🛡️ Privacy & Your Data

Before you give consent below, please read how this data is handled. This notice is written in plain language so students and parents both understand.

What we collect & why

Identity & contact: name, date of birth, email, phone — to register the volunteer and contact them about the event.
Parent/guardian info: required because volunteers are minors. Used for consent and emergency contact only.
School & grade: so GTA knows where their volunteers come from.
Volunteer role & notes: to plan shifts and match interests.
Medical info (optional): used only by event-day staff for safety. Never sent in confirmation emails. Never shared with the AI assistant.

Where the data goes

A private Google Sheet only GTA volunteer coordinators can see.
A confirmation email to you and your parent (no medical info included).
An AI assistant (Groq) may briefly process your name, school, role, and notes to write a personalized welcome and certificate. Medical info is never sent to the AI.
Submissions over the internet are encrypted (HTTPS).

How long we keep it & your rights

Records are kept for 60 days after the event, then archived or deleted.
You can delete your registration any time using the "Delete my registration" link in your confirmation email.
Parents can revoke consent at any time by emailing the GTA team.

For volunteers under 13

This form requires parent or guardian consent, in line with US child-privacy guidelines (COPPA). The form must be filled out together with a parent or legal guardian. By checking the consent box below, the parent confirms they have read this notice and give permission.

Parent/Guardian Consent (required): I confirm that I am the parent or legal guardian, I have read the privacy notice above, and I give permission for the student to volunteer at the GTA International Fest organized by the Global Telangana Association (GTA). I understand that GTA and event volunteers will take reasonable safety precautions, and I agree that my emergency contact information may be used during the event if needed.

3. Volunteer Activity Details

☂️ Outdoor event: The GTA International Fest is held outdoors. Please plan ahead — bring weather-appropriate clothing, comfortable walking shoes, sunscreen, a refillable water bottle, and an umbrella (sun or rain). A light jacket for the evening is also a good idea.
